Are you a proactive and adaptable professional with a keen eye for detail? Do you excel in providing exceptional support to senior stakeholders? If so, we have an exciting opportunity for you to join our Urban Integrated Business Operations team as a Team PA at The Crown Estate!
Purpose of the Role:
As a Team PA, you will be the ambassador and first point of contact for key stakeholders, delivering top-notch support and contributing to our Enterprise priorities. Your role will involve managing complex diaries, anticipating needs, and ensuring seamless communication and collaboration within the team.
Key Responsibilities:
- Diary Management: Use your initiative to manage complex diaries, resolve conflicts, and ensure stakeholders are well-prepared for meetings.
- PA Support: Provide high-standard support, including drafting and proofreading documents, sourcing briefing materials, and processing expenses.
- Forward Planning: Proactively plan around internal deadlines, track key projects, and protect diary time for essential tasks.
- Inbox Management: Manage and action emails as required by stakeholders.
- Travel Arrangements: Book and manage national and international travel, ensuring cost-effectiveness and minimal carbon footprint.
- Budget Oversight: Oversee the team’s budget for travel and events, ensuring alignment with policy.
- Meeting Support: Attend meetings, take minutes, and ensure timely distribution and follow-up of actions.
- Event Planning: Organise and lead internal and external events, managing logistics and ensuring smooth execution.
- Process Improvement: Review and improve processes to deliver optimal service to stakeholders.
- Client Interaction: Provide a professional first point of contact for clients, building strong relationships and demonstrating excellent communication skills.
- Collaboration: Work closely with the Business Support Community to enhance cross-enterprise knowledge sharing.
- Support: Assist EA/TC/PA during times of absence.
