Team Coordinator - Urban Regional Portfolio Management at The Crown Estate - 12 Month Fixed Term Contract
Purpose of Role: The Team Coordinator will play a pivotal role in supporting the Head of Regional Portfolio Management and the broader Regional Portfolio Management team. This varied and flexible role requires managing a diverse workload, understanding the team's day-to-day operations, business priorities, and identifying pinch points. The Team Coordinator will build strong working relationships across the business with other Assistants and key internal stakeholders, providing absence cover for other Team Coordinators in the Regional team.
Context of Opportunity / Main Accountabilities:
As a Team Coordinator, you will be responsible for ensuring the smooth operation of the Urban Regional Portfolio Management team. Your role will involve diary management, travel arrangements, administrative support, and proactive management of team-related data and information. You will coordinate team meetings, away days, and other key activities, ensuring compliance with corporate policies and procedures.
Key responsibilities include:
- Managing diaries for the Head of Portfolio Management and the team, arranging meeting rooms, catering, and travel.
- Overseeing travel arrangements and subsistence budget performance, ensuring best value for money.
- Providing administrative support to the team, operating proactively to ensure smooth operations.
- Building strong working relationships with Assistants and key internal stakeholders to enhance knowledge sharing.
- Overseeing team expenses, raising purchase orders, and supporting the induction and onboarding of new team members.
- Preparing internal and external reports and presentations, supporting large or complex projects as needed.
- Coordinating an annual schedule of team meetings, away days, and other key activities.
- Ensuring compliance with corporate policies, keeping the team updated with any changes.
- Identifying gaps in processes and recommending new solutions.
- Providing absence cover for Urban Team Coordinators and supporting the Urban EA in organising events.
- Becoming an active member of The Crown Estate’s Business Support Community.
Most Important Skills Based Requirements:

- Flexibility to support a team in a fast-paced environment.
- Ability to manage sensitive information confidentially.
- Excellent customer service skills and stakeholder support.
- Strong IT skills, including Adobe and MS Office (SharePoint experience preferable).
- Experience in formatting letters, producing PowerPoint presentations, formatting reports, and producing meeting minutes.
- Strong communication skills, both verbal and written, with the ability to build rapport and purposeful working relationships.
- Influencing skills and confidence to seek help and support from peers.
- Energetic and resourceful, proactive in initiating change to improve performance.
- Self-starter with excellent organizational and time management skills, able to work independently under pressure.
- Knowledge of engagement and relations, vision setting, administrative support, records management, diversity and inclusion, and process improvement.
This is a 12 month Fixed term contract role
