Purpose of Role
We’re looking for a highly organised and proactive Company Secretariat Assistant to join our Governance function. This is an exciting opportunity for someone at an early stage in their company secretarial career who wants broad exposure, professional development and the chance to contribute to meaningful work that delivers real public value.
Context of Opportunity / Main Accountabilities
Board & Committee Support
Prepare and upload papers using Diligent.
Create meeting packs and track actions across key Committees (Board, Audit, Remuneration, Nominations).
Support senior/executive meetings, including minute‑taking and follow‑ups.
Prepare Chair briefings and provide logistical support on meeting days.
Governance Administration
Maintain and update Diligent resources and the governance archive.
Manage document transition from legacy systems to SharePoint and Diligent.
Respond to internal requests for historical papers and governance information.
Compliance & Registers
Monitor declarations of interest and maintain relevant trackers.
Manage confidential project lists and NDAs.
Support subsidiary governance, working with our service provider and Legal team.
Assist with statutory filings for UK subsidiary entities at Companies House.
Website & Communications
Update internal governance site content.
Work with digital teams to maintain external governance pages, including director bios, policies and registers.
Reporting & Project Support
Assist with Annual Report & Accounts data collection and early drafting.
Contribute to governance projects and continuous improvement initiatives.
Team & Administrative Support
Support onboarding for new team members.
Provide wider administrative and diary support when needed.
Most Important Skills-Based Requirements
Experience in a Secretariat or Governance support role.
Degree-level education is beneficial but not essential.
Currently studying or intending to study GradCGI / CGI qualifications.
Strong written and verbal communication skills.
Minute‑taking experience and ability to produce clear, high‑quality documentation.
Familiarity with Board portal software (Diligent preferred) is an advantage.
Confident with Microsoft Office and digital collaboration tools.
