Fair processing notice
Under data protection law, The Crown Estate is the controller for your personal data. We use a service called Teamtailor to simplify the recruitment process, who act as data processors on our behalf. It is important that the people using the service feel safe with, and are informed about, how we handle their personal data in the recruitment process. We strive to maintain the highest possible standard regarding the protection of personal data and this fair processing notice sets out how we will access and look after your information.
How we will use your information
We will use the following information about you:
- name and contact details;
- employment history and other information provided by you to support your job application, including video footage where relevant.
Where you have applied through a platform such as Facebook or LinkedIn, we will use that information to progress your application.
In addition, publicly available information about you will be gathered, where available, from social media platforms such as Facebook and LinkedIn or other public sources. This is referred to as ‘Sourcing’ and is manually performed by staff or automatically by Teamtailor.
In some cases, where existing employees recommend potential applicants, their personal data will be processed in line with this notice and those individuals will be informed that their data is being used in this way.
In all cases, only information relevant to the recruitment process will be used.
Legal basis for processing
Our primary lawful basis for processing your personal data is legitimate interests. This is because it is in The Crown Estate’s legitimate interests to be able to process information about potential job candidates as part of an effective recruitment system.
It is also open to you to give us consent to contact you in the future about job opportunities. If at any time you would like to withdraw your consent, you can do this via the Teamtailor account settings. Below you can also find information for contacting The Crown Estate’s Data Protection Officer.
Where we store your data and for how long
The data we collect is stored on information technology systems owned and run by or on behalf of The Crown Estate or on systems run by those businesses processing it on our behalf; in this case, Teamtailor.
Your personal data will not be transferred outside the UK or European Economic Area. More information is available here.

Retention period
Job applications and related information
Successful employee data will be retained for length of service unless deletion requested. Unsuccessful candidate data will be deleted after 6 months unless they opt in to have their details retained as per below.

Inactive candidate data

If you become a member of staff at The Crown Estate, different retention periods will apply to your personal data, and you can find out more about these by contacting either the Data Protection Officer or the Records Manager.
