Workplace Coordinator (Cardiff)

We’re looking for a Workplace Coordinator to join our team in Cardiff. As a key member of our Workplace Operations, you’ll play a crucial front of house role role in creating a warm welsoming space for our guests as well as ensuring our office runs smoothly and efficiently.
Role Overview:
- Customer-Centric Approach: Provide outstanding customer care and service to all guests, visitors, and service partners, aligning with our service level agreements.
- Facilities Coordination: Mobilise and coordinate workplace services and facilities within the Cardiff Hub. Set processes and procedures to enhance efficiency.
- Collaboration: Work closely with colleagues to create a positive and inclusive work culture. Support senior team members and build internal networks.
- External Focus: Organise stakeholder meetings and events. Be the first point of contact for the Hub.
Main Responsibilities:
- Diary and Inbox Management: Assist the Wales Director in optimising their time amidst competing demands.
- Stakeholder Management: Support senior colleagues in planning internal and external events. Attend conferences and drive follow-up actions.
- Policy Compliance: Ensure consistency with corporate policies (e.g., expenses, gifts, and procurement guidelines).
- Collaboration: Work with the Business Support Community and Workplace teams.
- First Point of Contact: Provide prompt and efficient support to colleagues and visitors.
- Visitor Experience: Create a 5-star experience for visitors, taking ownership of their needs.
- Hub Management: Monitor service partner KPIs and SLAs. Communicate activities to team members.
- Meeting Rooms: Manage meeting rooms, set up AV equipment, and report any issues.
- Health and Safety: Act as a fire warden and first aider. Lead H&S efforts within the space.
- Access Control: Monitor card access for security purposes.
Required Skills and Experience:
- Customer Service: Efficient, flexible, and discreet.
- Communication: Excellent verbal and written skills needed to build rapport with senior leaders and stakeholders.
- Influence: Confident in seeking help and support from peers.
- Process Improvement: Proven experience in enhancing efficiency.
- Event Management: Organising internal and external events.
- Proactivity: Forward-thinking and adaptable in a fast-paced environment.
- Confidentiality: Handle sensitive information with care.
- IT Skills: Proficient in Adobe, MS Office, and other relevant tools.
- Resourcefulness: Energetic and proactive in driving positive change.
- Independence: Ability to work on self-directed projects under pressure.
- Organisational Skills: Methodical and excellent time management.
- Initiative: Keen to contribute and deliver results.
